liveplanner is shared and live from the first card. Sharing is just creating a link and handing it over: whoever opens it joins the same plan and sees every change as it happens, alongside you. The person you share with does not need an account. For the full details see Sharing.
Create a share link
Open the plan you want to share and click Share at the top right of the editor, or choose Share from the plan's ⋯ menu in the Explorer. The plan's owner and its team's members manage its links, so someone who joined through a link can't.
Choose a level: Viewer (watches along; can't comment or change a thing), Participant (comments, votes and works items, but can't reshape the plan) or Editor (works with you in real time). Lasts sets how long the link works: Forever, 1 week, 1 month or 6 months. In a plan with several tabs, Opens can limit the link to one tab.
Press Create and Copy Link. The link is copied for you straight away, ready to send to whoever you want in the plan; each link in the list also has its own Copy button.
A plan saved to This Browser has to be synced to liveplanner before it can be shared.
What happens when they open it
Someone opening your link for the first time enters the password if you set one, picks the name others will see (a signed-in visitor keeps their account name), and then lands in the plan:
- Live presence. Everyone sees who else is in the plan and which tab they are on. A card someone is dragging or has open shows their colour and name. See Live Presence.
- Simultaneous editing. On an Editor link, you both change the plan at once: cards move, cells fill in and new cards arrive for everyone as it happens.
- No sign-in required. A guest can join straight away; liveplanner never blocks them with a sign-in wall. See Guest vs account.
Managing and ending access
Back in the Share dialog you can manage links over time:
- Several links. Make several, at different levels, for example a Viewer link for stakeholders and an Editor link for collaborators. They are listed under Links.
- Turn a link off with its bin to cut off access through it. Links with a lifetime show how long they have left, and Extend gives them more. See Share Link Expiry.
- Set Password. Protect every link with one password; everyone opening a link must enter it first, embeds included. See Share Passwords.
Want to put the plan on a web page or in a doc? A share link's code makes an embed, or, while no password is set, a live image that stays up to date. A Viewer or Participant link embeds look-only; an Editor link embeds an editable plan. See Embeds.
